Guest article by EL&G Rustic Weddings.

Your destination wedding venue search is one of the first big decisions in the planning journey. It usually starts with beautiful photographs, saved inspiration, late-night searches and messages sent to venues that seem to match the vision you have in mind.

But behind those photographs, there is a process that is not always as straightforward as it looks.

There are enquiries, availability checks, proposals, budgets, comparisons, unanswered questions and sometimes a change of direction. And that’s the reality of planning a wedding.

At EL&G Rustic Weddings, we believe that the venue search deserves more attention than simply finding a beautiful place. It is about understanding what you really want, what is possible and what feels right for you.

Your destination wedding venue search: beyond the photographs

A venue can look perfect in photographs, but there are many details that only become clear once you start asking questions.

  • What is actually included in the venue fee?
  • Are there additional charges or a minimum spend?
  • What are the restrictions regarding music, catering, decoration or timings?
  • Does the space work for your guest count and the kind of celebration you imagine?

These details can completely change how you feel about a venue.

This is why venue scouting is not simply about collecting beautiful locations. It requires research, communication, experience and an understanding of the practical details that make a wedding work.

Having a planner involved from the beginning can help you look beyond the photographs and understand the full picture before making a decision.

The part of the process we rarely talk about

There is something that happens quite often during the initial venue search: communication simply stops.

A couple sends an enquiry, receives information or a proposal, perhaps asks a few questions, and then the conversation goes quiet. Sometimes it happens before we even have the chance to properly understand their plans.

And honestly, there are many reasons why this happens.

Perhaps the proposal is beyond the expected budget. Perhaps the couple has found another venue. Maybe their plans have changed, they are reconsidering the guest list, or wedding planning has temporarily taken a back seat. Sometimes they simply don’t know how to respond because they are still trying to figure things out themselves.

We understand that.

A wedding is a significant personal and financial commitment. Decisions take time, priorities change and not every enquiry turns into a booking. That is a perfectly natural part of the process.

As wedding planners, we also experience the other side of this communication. We spend time researching venues, contacting properties, requesting information and preparing options that we believe could work for a couple.

Sometimes, we never find out what happened next.

And perhaps that is something worth being more open about. Not every conversation needs to lead somewhere, and not every proposal needs to become a booking. But a genuine conversation, even a short one, can help everyone understand where things stand.

You can tell us the truth. Really.

One thing we would love every couple to know before contacting us is that you don’t have to make everything sound perfect.

You can tell us that your budget is lower than the proposal you received. You can tell us that you are speaking with other planners or venues. You can say that you love a location but are not convinced about the price. You can tell us that you have changed your mind, that you need more time or that you are not ready to move forward.

You don’t need to apologise for any of these things.

We would rather understand your actual expectations than work with assumptions. It helps us provide more relevant suggestions, explore alternatives and avoid spending time on options that are not suitable.

And the same honesty should work both ways. If something is not realistic, if a venue is not the right fit or if an additional cost needs to be considered, we believe you deserve to know from the beginning.

Trust is built through these conversations, not through perfect proposals or promises.

What does a planner actually bring to the venue search?

A wedding planner should do more than forward a collection of venue links. The value lies in understanding the couple’s priorities and translating them into practical possibilities. This includes researching suitable venues, contacting venue managers, checking availability, requesting detailed offers, comparing inclusions, identifying potential additional costs and arranging visits. It also means asking the questions couples might not yet know they need to ask.

Sometimes, it means suggesting a completely different type of venue. Other times, it means explaining why a beautiful location might not be the best choice for the celebration you have in mind.

The purpose is not to push you towards a particular property. It is to help you make a decision with a clearer understanding of what you are choosing.

There is no perfect way to start planning

Some couples come to us with a detailed vision, a confirmed guest count and a clear budget. Others have nothing more than a few saved photographs and the feeling that they want something special.

Both are equally good starting points.

You don’t need to know every detail before reaching out. You don’t need to have your budget finalised. And you certainly don’t need to know whether the first venue you enquire about will be the one.

Planning is a process of discovery. It is completely normal to learn along the way, change your preferences and reconsider your options.

At EL&G Rustic Weddings, we want couples to feel comfortable having those conversations. To ask questions without hesitation, express concerns without embarrassment and share their real expectations without feeling that they need to say the right thing.

Because, ultimately, the right decisions come from understanding each other.

A little honesty goes a long way. And sometimes, the best place to start planning your wedding is simply an honest conversation.
